Capturing Data Leads to Better Cost Control for Facilities Maintenance

Facilities MaintenanceSecond only to energy costs, maintenance is one of the largest expenses for most commercial buildings. In some instances, it is the greatest expense. By analyzing three areas of facility spending, managers can identify ways to prevent, lower or control maintenance costs.

1) Total Cost of Ownership, or Life-Cycle Costs (LCC)

To determine LLC:

  • Add up initial costs: procurement, installation, start-up, and commissioning.
  • Calculate maintenance work: repairs, custodial costs, equipment alterations, and energy costs.

By linking these expenses to an asset, the life-cycle cost can be calculated. This data also helps to make equipment repair or replacement decisions. Typically, equipment is replaced once over the life of a building, as the average life expectancy of properly maintained equipment is between 15 and 20 years, according to ASHRAE.

2) Energy Consumption

Is your commercial building energy efficient? Is money being wasting on inefficient equipment and building practices? You can find out in two ways.

  • Input your facility’s attributes and utility bill data at www.energystar.gov. This will generate a score between 0-100 to indicate the energy efficiency of your building.
  • Use data from your CMMS to track, measure, and trend the performance of your facility. Benchmark your energy-related metrics by comparing them to a similar building and establish key performance indicators (KPI) and goals.

3) Management Practices

Making good maintenance decisions requires capturing fundamental data.

  • Work requests, with completion time and dates.
  • Work orders, classified to the type of work, location, time, and materials; linked to an asset.
  • Work order close-out, with data entered into CMMS so reports can be run.

Establish an equipment maintenance plan (EMP) − a file for each piece of equipment that requires maintenance. Once the EMP is loaded into the CMMS, you can see where you are spending a lot of money or time on maintenance.
